30 year old Ideal shredder comes in from Lewis Stores for repair at Maynards Workshop

A real “gem” still serving its purpose – A piece of history

When Lewis Stores brought in their Ideal 2205A Shredder head for repair and a functional service, there was a ripple of excitement in our Maynards Workshop, as this shredder had been manufactured in 1987 in Western Germany – Before the fall of the Berlin Wall, and it was still in service!

The shredder was in excellent condition and had obviously been well looked after. But it had been well used and had worked hard over its 30 years of employment as a work horse. Our records show that this machine had never previously been serviced or repaired in our workshop! The Ideal shredder was in dire need of a service (clean out and re-greasing the bearings); otherwise just the shredder belt needed tightening.

Maynards Office Technology has been the sole importer of Ideal Shredders from Germany for over 50 years. We have always bragged about the precision engineering of the Ideal shredders and the ability of these machines to do the “hard yards” in the workplace, and this is clearly true.

I remember watching the Berlin Wall coming down in 1989 on TV with a real feeling of hope; it seems now that this was eons ago. It is wonderfully reassuring that the products which we have supplied during a previous “almost forgotten” era are still out there in the market doing their job.

Cross Cut vs Strip Cut Shredder – The Pro’s & Con’s

Shredder Terminology:

Strip Cut refers to shredding of the document vertically only. The IDEAL standard width of a strip is 4mm. An A4 page will get stripped into 53 pieces.

Cross Cut refers to shredding of the document both vertically (into strips) and horizontally into pieces 4cm long. An A4 page will get cross cut into 400 pieces

Security Comparison

  • Cross Cut shredding offers 7.5 times greater security for shredded information than Strip Cut does.
  • The DIN 66399 Standard for the destruction of data defines security levels for the protection of data once        shredded.
  • Shred Cut documents qualify under P-2, where documents are rendered illegible.
  • Cross Cut documents (4*40) qualify under P-4, which is recommended where data contains especially sensitive and confidential information.
  • With the implementation of the POPI Act towards the end of 2017, each company will need to establish an appropriate policy for the safe destruction of all personal information of employees, clients and the public at large that is in the company’s possession. It will be the responsibility of the Directors ultimately to enforce the fulfillment of this policy.

Performance in sheets

A Shredder motor requires greater power to shred documents through a Cross Cut Head as compared to a Strip Cut Head. This results in a lower capacity of sheets being shredded by a Cross Cut shredder. So a 390 Watt motor will be able to process the following maximum number of 80gram sheets at one time :

                                     Strip Cut : 18                         Cross Cut : 13

Wear and Tear

Cross Cut Shredders will work considerably harder than Strip Cut machines, which has the potential to tire out a Cross Cut machine sooner than their Strip Cut equivalent. However wear and tear will be of little concern, if one invests in an IDEAL shredder. IDEAL shredders are manufactured in Germany. The Cutting heads are made from the strongest Solingen steel and have a lifetime guarantee. The motors and gears are engineered with the precision for which the Germans are renown. IDEAL shredders are both a workhorse and a thoroughbred. Love them and service them annually and they will consistently do their job to your satisfaction.

Shredder Waste Storage Capacity

The Cross Cut pieces settle significantly more compactly in the collection bin than Strip cuts do. The effect of this is that one can shred many more pages using a cross cut machine before having to empty the bin. Shredded Strip Cut pieces periodically need to be squashed down in the bin manually to compact this waste paper, to maximize the bin capacity. This is not required for a Cross Cut machine.

WHAT IS POPI??

What is POPI: The Protection of Personal Information (POPI) Act 2013 explained

 

In simple terms, the purpose of the POPI Act is to ensure that all South African institutions conduct themselves in a responsible manner when collecting, processing, storing and disposing another entity’s personal information by holding them accountable should they abuse or compromise your personal information in any way. The POPI legislation demands that your personal information be treated as “precious goods”.

Examples of “personal information” for an individual could include:

  • Identity and/or passport number
  • Date of birth and age
  • Phone number/s (including mobile phone number)
  • Email address/es
  • Online/Instant messaging identifiers
  • Physical address
  • Gender, Race and Ethnic origin
    • Photos, voice recordings, video footage (also CCTV), biometric data
  • Marital/Relationship status and Family relations
  • Criminal record
  • Private correspondence
  • Religious or philosophical beliefs including personal and political opinions
  • Employment history and salary information
  • Financial information
  • Education information
  • Physical and mental health information including medical history, blood type, details on your sex life
  • Membership to organisations/unions

Why should I, or my company, comply with POPI?

POPI promotes transparency with regard to what information is collected and how it is to be disposed of. Openness increases customer trust in the organisation.

Compliance demands identifying Personal Information and taking reasonable measures to protect the data. This will minimise the risk of data breaches and the associated public relations and legal ramifications for the organisation.

Non-compliance with the Act could expose the Responsible Party to a penalty of a fine and / or imprisonment of up to 12 months. In certain cases, the penalty for non-compliance could be a fine and / or imprisonment of up 10 years.

Does POPI really apply to my company?

Here are cases where POPI does not apply. Exclusions include:

  • Purely household or personal activity
  • Sufficiently de-identified information
  • Some state functions including criminal prosecutions, national security etc.
  • Journalism under a code of ethics
  • Judiciary functions etc.

When will POPI affect me?

We anticipate that the POPI commencement date will be early in 2017, but no later than 24 May 2017. Bear in mind that there is a one-year grace period that could be used by the Information Regulator to begin the work. We currently anticipate that you will have to comply with POPI from early in 2018 as the Information Regulator will start enforcing POPI by then.

Ideal Shredders – Keeping The Foschini Group ahead of the POPI BILL

Maynards Office Technology has recently concluded a momentous roll out of IDEAL Shredders to The Foschini Group. In total 417 Ideal shredders were purchased, a combination of the Ideal 2404 , 2260 and 2503 models. The over riding motivation for The Foschini Group to embark on this process was to remain ahead of the soon to be mandated POPI (Protection of Personal Information) BILL.

The Protection of Personal Information Bill  (POPI) has been tabled in Parliament and will soon be signed into law. This Bill seeks to support the right to privacy of personal information of South African citizens and bring South Africa in line with international data protection laws. The Bill protects the personal information collected and processed by organizations. Considering this bill has not yet been signed into law it speaks volumes of The Foschini Group that they have taken the initiative to put measures in place to keep them ahead of the bill once its passed. The procurement of 417 IDEAL Shredders for all their main outlets showcases the real practical approach they have taken to ensure even at store level that a high degree of privacy towards customers personal information is ensured. The idea is that each store will shred all unnecessary copies of customers personal information, thereby ensuring the risk of leaked personal information is limited. The Maynards team in conjunction with The Foschini Group ensured the perfect model IDEAL Shredders were selected to easily handle the volume of shreds in the individual stores. 

Once the order had been finalized Maynards executed a seamless distribution of all 417 shredders, locally, nationally and to neighboring countries such as Namibia. Each store received their specific Ideal Shredder with full instructions on the use of the model as well as additional oil paper for maintenance purposes. A comprehensive record of all POD’s was then supplied to The Foschini Group in the form of a DVD. The Foschini Group were so impressed with the level of professionalism from the Maynards Group as well as the quality precision German engineered IDEAL Shredders that they have now also implemented them in Top Management at their Cape Town Head Office.

Risks of Using a Shredding Service

USING A SHREDDING SERVICE IS PUTTING YOUR COMPANY’S SECURITY IN THE HANDS OF STRANGERS. IT’S ALSO EXPENSIVE.

If you’re using a shredding service, you’re putting your company’s security at risk

When it comes to protecting your company, customers, and employees, shredding sensitive data is imperative. But shredding your data before it leaves the building is the only way to be absolutely sure it was destroyed prior to someone else seeing it.

When you hand over documents to a shredding service, you are relinquishing control of your security program. A complete stranger is now in possession of your sensitive data. Would you feel comfortable handing that same person a box containing your personal bank and credit card statements and then watching him walk out the door with them? If the answer is no, you should consider eliminating the middle man and shredding “at the source” with a Ideal business shredder.

What’s in a name?

Today, many services offer “on-site” shredding. The truth of the matter is that all businesses required to maintain confidentiality of records cannot transfer the responsibility of properly disposing them to an outside contractor. The legal responsibility for the security of the information remains with the business. A certificate of destruction is not a legal document that will absolve the business from responsibility / liability in a court of law.

Reduce Office Costs In 3 Simple Steps

With the current state of the economy world wide more and more businesses are looking at different ways to Reduce Office Costs. In this post i will focus on 3 crucial elements of each business and how we as a company can help you Reduce Office Costs.  The 3 elements i am talking about are: Printing, Office Stationery and Space Saving.

PRINTING

We all know how important printing is to any company and in todays times organizations are trying their best to cut down on printing to not only Reduce Office Costs but also to help preserve the environment. That having been said, Printing in a small business or large organization is inevitable so its important to make sure you make the correct decisions when the time comes to purchase or upgrade your Printer / Multifunctional. Here’s some interesting “food for thought” compiled by our Digital Division Sales Manager Justine Wittels.

Most people assume Laser printers are far cheaper to print on . What a mistake!!! Some of the well known laser printer brands print at as much as 30c per print and others at 50c per print. That’s at 5% coverage! So if you have a bit more printing on a page (10% coverage) you can double the price as the cartridges are all in one toner/drum! Our most economical black laser printers and multifunctional units are our Olivetti’s. These run at an average service rate of 7cents per print which includes delivery of free toners and drums  as well as travel, labour and parts and it doesn’t matter about the coverage! How many prints a month or per year do you do? Even if you only do 1000 prints a month (2 packets of paper) you can save R230 per month.  That’s based on 5% coverage.  If the “other” laser printer did a lot of jobs at 10% coverage or more you can double that saving to R535! Or if you double or triple your volume the same thing applies.  So at a minimum of 1000 prints a month at 5% coverage you save R230 and over a year your saving is R2760 + VAT! Over the average 5 year period you can save over R13,000! Imagine how much we can save you if you volumes are more or your coverage double…..?

This example shows you just how important it is to shop around and do your homework when purchasing a new / upgrading an old printer. Making the right decision in the beginning will save you hundreds or even thousands of rands every year!!!
